Registration Fees

**All prices will increase after 5 p.m. ET, on the following deadline dates. Be aware that due to print restrictions, those who register after Feb. 19, 2025, will not have their name printed on their official registrant badge. Instead, names will be printed on labels and placed on the official registrant badge.**

**You must be a member of the WBCA to register to attend convention.

Registration includes access to all learning labs sessions, roundtables, division-specific town halls, the Courtside Expo, on-court presentations and other WBCA events, including the Welcome Party.  By registering, you agree to follow all policies, rules and guidelines associated with this event. Pre-registered guests may be asked to show their confirmation email when picking up registration packets.

Additional Registrations

Welcome Party

If you are registering to attend the convention, the Welcome Party is included in your registration fee. You do not need to purchase this $75 pass for yourself. This $75 pass is needed ONLY for each person, who is not registered for convention, but who will attend the Welcome Party with you as your guest.

**Note: this pass only gives your guest access to the Welcome Party. It does not provide access to other sessions, social events or the Courtside Expo. All persons, including guests, must be 21 years old or older to attend the party.

The WBCA no longer offers Spouse/Companion passes. Note: the previous spouse/companion pass only offered access to social events (Welcome Party) and the Courtside Expo.

Registrants will be required to pick up their Welcome Party pass  — and their guest pass(es) if applicable — during registration hours.

Children

Children 18 and under, accompanying their parent-members to convention are welcome at no charge provided they are supervised by a badge-wearing adult attendee. No registration required.

Policies

Registration
  • The WBCA must receive payment of all fees in full before confirming registration.
  • All member coaches must comply with the applicable bylaws and policies of their respective governing bodies (such as NCAA, NAIA, NJCAA, etc.) that regulate contact with recruitable student-athletes while attending the WBCA Convention.
Cancellations/Refunds
  • All notices of cancellation must be submitted in writing from the original registrant (not from their employer or supervisor) via email or mail.
  • The following administrative fees apply to registration costs only:
    • Sept. 4, 2024 through Feb. 19, 2025
      • Fee – $50
    • Feb. 20, 2025 through March 21, 2025
      • Fee – $130
    • No shows
      • No refunds
  • Cancellations do not apply to NCAA Women’s Final Four tickets.
  • If a registrant cancels their registration then chooses to re-register at a later time, they can use the original cancellation fee toward their new registration payment. The registrant will be required to register at the current rate based on when they re-register.
  • Appeals due to Acts of God must be submitted in writing no later than April 26, 2025.
  • Refunds may not be processed until after April 26, 2025.
  • No refunds after March 21, 2025, with the exception of the following scenarios:
    • Death in immediate family. Registrant must submit email in writing along with proof of obituary. This will qualify for a full refund upon approval.
    • Sick and/or hospitalization. Registrant must submit an email describing the illness and must have a signed, doctor’s note. This will qualify for a partial refund and the cancel fee will still apply.
  • Challenges with travel and/or weather will not be considered for refunds.
Teams Participating in Women's Final Four and WNIT
  • The WBCA appreciates those members who forgo their convention fees to the WBCA while they compete in the NCAA Women’s Final Four and the WNIT in order to assist the association in fulfilling its mission. Coaches and staff who register for convention and subsequently participate in the Women’s Final Four or WNIT (semifinal and championship rounds), however, may request their registration fees be credited toward registration for the next year’s convention when their dates of tournament play coincide with the dates of the WBCA Convention. All requests for the credit must be made in writing by April 15th each year and submitted by email to Shayla Black at sblack@wbca.org. The persons in question must also be active members in order to receive the credit. Membership dues and registration fees apply to the member and not the institution.  

    **Dates for the 2025 NCAA Women’s Basketball Invitation Tournament (WBIT) have not been announced. If the championship takes place at the time of the WBCA Convention, the above policy will apply. 
Transfers
  • All requests for transfer of registration must be submitted in writing (email or mail).
  • Transfers are for registration packages as purchased. The WBCA cannot break up an order (such as tickets).
  • There is no fee to transfer a convention registration to another registrant.
  • Transfers are only allowed between active WBCA members. If the recipient is not active, they must apply for either new membership or renew.
  • A written notice from the original registrant (not from their employer or supervisor) is required.
Cancellation or Postponement of the Event
  • The WBCA is not responsible for delays, damage, loss, or incurred transportation or lodging costs by causes not reasonably within the control of the WBCA or other emergency conditions, including, but not limited to, fire; casualty; flood; epidemic or pandemic; earthquake; explosion or accident; blockade embargo; inclement weather; government restraints; restraints or orders of civil defense or military authorities; acts of public enemy; riot or civil disturbance; strike; lockout, boycott or other labor disturbance; inability to secure sufficient labor; technical or other personnel failure; impairment or lack of adequate transportation facilities; inability to obtain, condemnation, requisition or commandeering of necessary supplies or equipment; local, state or federal laws, ordinances, rules orders, decrees, or regulations whether legislative, executive or judicial, and whether constitutional or unconstitutional; or Act of God.
  • By registering, the attendee agrees to indemnify, defend and hold harmless the WBCA, the event facility, the owner of such facility, and the city in which this event is being held, and their respective officers, agents and employees, from and against all bodily and personal injury, loss, claims or damage to any person or any property arising from cancellation or postponement due to above circumstances and conditions.

Americans with Disabilities Act (ADA)
  • The convention center, hotels and other facilities agree to use good faith efforts to assure compliance with the Americans with Disabilities Act (ADA) and its regulations and guidelines. If you have special needs, please discuss in advance these needs directly with your hotel or contact the WBCA at 770-279-8027 (prompt 2).
Photo/Video Release
  • As a condition of your appearance or attendance at the WBCA Convention you expressly grant the WBCA permission to capture images of you, to use those images for the purposes of recording and reporting on this event and to use those images in promoting future events. Furthermore, you acknowledge that such uses will not impose any liability on the WBCA or entitle you to any compensation for the use of your likeness.
